Sopra are now significantly underway in developing this comprehensive system designed specifically for Interfaces and other intermediary organisations.  

As a result of the needs identified via the successful Scoping Exercise undertaken by Sopra earlier last year, the system will include the following applications:

Milo Project Board
To ensure that the aims of the Milo Project are delivered on time, within approved budget, and within agreed quality specifications. The Project Board represents the higher level interests of users and suppliers within the Milo project.

Milo Project Team
Control the production of the defined products and manage the project on a day to day basis. The Project Team Committee meets weekly.

Role Definitions
All roles are subject to the “SVA Management Group Partnership Agreement – February 2010” and are both internal facing, to contribute to the smooth running of the project and external facing, to communicate key messages to the TSIs.  (can we link this here)?

Board Representative – Paul White
The Board Representative is vested with decision-making powers to arbitrate as necessary, particularly with regard to delivery times and costs.

The functions of this principally

• To define the objectives and general approach to be adhered to throughout the project
• To represent members of the programme board
• Manages communication and selling of the project for SVA and their involved partners.
• Accepts the application as a whole

 
Product Owner – Kenny Murphy
As part of the responsibilities as ‘owner of the project’ this role:

• Makes the fundamental decisions on needs and constraints of the product (solution)
• Chooses from among the different alternatives proposed the solution to be implemented
• Co-ordinates the needs and ensures the consistency of functions across the different parts of the product
• Ensures that the choices made are appropriate to the needs of the users
• Controls the user groups
• Directs and co-ordinates for SVA and the involved stakeholders
• Accepts the application as a whole.

Programme Manager – Sally Dyson
The programme manager participates in the bodies controlling the project and is in charge of the synchronization and coordination with other projects and teams interacting or interfacing with Milo

The functions of this role are principally

• To co-ordinate constrains and needs and ensures the consistency with other IT activities and / or projects
• To allocate resources: deploying the financial, material and human resources necessary to achieve the objectives of the project
• Directs and co-ordinates for SVA and the involved stakeholders


Project Manager – Keith McCormac
The project Manager appointed by the Management of the client is the ‘operational and day-to-day’ contact person for the Sopra Group Project Manager.  This role is to organize and manage the project for SVA according to the directives and procedures drawn up and agreed by both parties and is responsible for:-

• Coordination with Sopra group
• Organising the provision, by the Client, or the items needed by Sopra Group within the requisite periods
• Approving and accepting the documents issues by Sopra Group
• Organising acceptances of all deliverables supplied by carrying out tests and analyzing the results.
• Overall monitoring of the progress of the project


Business Analyst - SVA
The availability and presence of this individual are essential to the project.  This individual participates in the bodies controlling the project and has decision-making powers

The functions of this role are also:-

• To participate in defining the main goals and operational needs of each area
• To participate in the planning and supervision of implementation of the project ensuring that all SVA tasks are planned and executed in line with the overall project plan
• To promote communication (information over the project’s lifecycle)
• To coordinate the works and contributions within the specification and planning phase
• To ensure that the results of the work are fed back to the project team (for approval) as well as any requests for arbitration
• Project Business Analyst
• To represent users needs in dealings with the project team


Senior Supplier and User – VDS Eliane Reid / Richard Dale
Representative(s) of the Project Board which provides a dual role on the Board. As Supplier, VDS will provide specialist knowledge of existing products (specifically VBay) to support transition to MILO product for the benefit of the end users within the project.

Within User role – VDS is the owner/ custodian of volunteerscotland.org.uk and will represent its end users to ensure a continuity of quality service during transition period and into the future beyond the lifetime of the Milo project specifically, assuming that Milo will be completed by 31st March 2012.

These roles are subject to a Memorandum of Understanding between SCVO and VDS to ensure robustness of the relationship between parties. (In discussion)

VDS role responsibilities as Supplier will include:
• Attendance and input at workshops, project meetings, steering committees and strategic committees as agreed where practical.
• Provision of specialist advice and materials regarding the functionality of VBay to the Milo Project Board to allow Sopra Group to manage migration of functionality and data to Milo product.

VDS role responsibilities as User will include
• Attendance and input at workshops, project meetings, steering committees and strategic committees as agreed
• Agree and provide final sign off on technical requirements and development plan to ensure the required data from Milo is supplied to volunteerscotland.org.uk. (assuming that all testing meets the quality assurances of VDS technical board for volunteerscotland.org.uk)
• Ensure no loss of service or quality to volunteerscotland.org.uk users.
• Advise on design and development approach for data transfer to volunteerscotland.org.uk

Calendar Events
Developing the way in which TSIs can use Milo to manage events and record the information about the event and the organisations attending into the Milo database

Interaction Management
Developing the way in which all interactions (meetings, phone calls, and electronic communication) are recorded and connect across the Milo database.

Organisations
Supporting TSIs to manage information about Organisations including profiling data, contacts, locations, membership etc.

Standard Reports
To develop and agree the initial types of standard reports in relation to organisations, interactions and volunteering that will be available to everyone .

Ad hoc reporting
To develop the most appropriate mechanism for enabling individuals to report on a wide range of non-standard items to meet their individual needs. 

TSI Interface
Provides a series of interfaces to Milo which may be used by TSI’s to provided integrated services through their public websites

Volunteer Opportunity Placements
This covers developing an enhanced vBay system

VS Interface
Provides a defined interface to the Volunteer Scotland website allowing it to synchronise Volunteering and Opportunity information from Milo.
